Submitting Web Links for Transcription

Last Updated: Nov 29, 2016 04:48AM PST
If the content you need transcribed is a web link rather than an actual media file (e.g. .mov, .mp3, etc.), you can submit that directly into our Customer Portal for transcription! This article will discuss the parameters for links we accept and will walk you through the process of submitting one of these links for transcription.

What Works:

Public audio and video streaming sites work best with our web link upload tool. For example, YouTube, Soundcloud, DailyMotion, Vimeo, and Grooveshark will all upload without issue. Some major news sites may work as well.

As a general rule, your link needs to be public. If your link requires a password or any kind of login, it will experience an error during the upload process.

Private Youtube Videos and Encrypted Sites:

For private YouTube videos, we suggest changing these to be 'Unlisted', meaning that they do not require a password, but cannot be found through a search (more information can be found here). Additionally, highly encrypted sites (like a Video Conferencing service) are not supported by our web link tool and will require you to download the source media file and upload to our Customer Portal for transcription.

If you have a question about whether our web link upload tool can accept your link, please write us at and we will be happy to help!

To submit links to streaming content on our Customer Portal, please follow these steps:

1. Login to your Customer Portal.

2. Paste your link into the open field labelled “Do you have online media?” and click “Upload.”

3. Your file will initially appear with the status “File Queued for Upload.”

4. After a few minutes, refresh the page and the status should read “Ready for Transcription.” From here you can click the "Transcribe!" icon that will appear to the right of your file. Please consult our Customer Portal Walkthrough from Step 6 onward if you have any questions about completing your order.
